Account Managers & Senior Account Managers - Bermuda

Permanent on island / office based position(s)

On behalf of my client, I invite applications for the above positions - Reporting to the SVP, Account Managers & Seniors provide financial management services to a portfolio of the Company’s segregated account programs &/or (re)insurance company clients, and are responsible for the quality of servicing delivered to the assigned clients.

Primary Accountabilities and Responsibilities:

  • Managing relationships with clients and their respective service providers (including auditors, lawyers, bankers, regulators, and insurance intermediaries etc.).

  • Preparation of periodic client financial statements and/or segregated accounts program financial statements on a timely basis and within client and Company adopted deadlines.

  • Preparation of client reporting packages within client and Company adopted deadlines.

  • Preparation of Board Books and attendance at client meetings.

  • Alongside the Compliance Officer monitoring and reporting on clients’ compliance with Bermuda Insurance regulations and filing of statutory insurance reports within deadlines.

  • Coordinating and ensuring timely completion of client annual audits.

Property Administrator - Bermuda

Permanent appointment / office based position

On behalf of my Client, I invite applications for the permanent position of Property Administrator based in Hamilton City Centre.  This position is integral to the success of the department and has exposure to a wide range of  stakeholders both internal and external.


Primary Responsibilities:

Maintenance coordination tasks

  • Liaising between tenants/occupants, owners and any of the managed properties, including staff accommodation.

  • Receiving maintenance requests from tenants and allocating tasks to the appropriate inhouse service personnel or external service providers.

  • Purchasing approved goods and services for the properties in accordance with budgets.

  • Coordinating construction and maintenance projects and attending construction meetings for internal projects as well as tenant fit out projects.

  • Attending meetings as required and generating agendas and minutes.

  • Attend tenant construction meetings to ensure that tenant and Landlord work is being carried out in accordance with company standards and that the tenant’s work is being carried out according to their license for alterations.

  • Assisting to address any operational or maintenance issues.

  • Inspecting cleanliness and maintenance throughout the properties and organizing the appropriate cleaning and maintenance works (e.g., housekeeping).  This will include the periodic walking of entire properties to ensure quality controls are being met.

  • Assisting in the management of maintenance and service contracts (such as for fire alarms, generator, HVAC, pest control, security, etc.) and scheduling planned preventative maintenance.

  • Obtaining and comparing competitive quotes for maintenance contracts and services.

  • Creating, updating, and implementing procedures for parking, security, fire evacuation, hurricanes, other emergencies, health and safety matters etc.


General duties for Building Automation Systems

  • Learn and become familiar with the Tridium Building Control systems.

  • Carry out basic trouble shooting for the identification of problem areas as client requests are made.

  • Be able to adjust lighting and air conditioning schedule for events, tenant requirements and meeting room requirements.

  • Learn and become proficient with Upkeep for the management and tracking of maintenance requests.

  • Become the lead administrator for Upkeep to ensure annual renewals are processed and keep abreast of new features and training opportunities.

  • Learn and become proficient with the building access control software including C-Cure, Avigilon and Lanel to provide door and elevator access to tenant areas within the managed portfolio of buildings.

  • Be able to program access cards and program door and elevator schedules and for tenant floors and spaces.


Lease related tasks

  • Assisting with the marketing and showing of office, retail, and residential space and cross selling the products and services of other divisions of the companies.

  • Assisting with aspects of lease management.

  • Creating inventories (e.g., furnished residences) and helping with inventory control of facilities related items.

  • Keeping track of Tenant Insurance obligations and following up to ensure that policies are in place at the beginning of each lease and renewed at the beginning of each renewal period.

  • End of lease condition inspections and reports for residential properties including Trust properties.  


Administrative tasks

  • General support to and coverage of administrative services for all properties.

  • Drafting correspondence, filing, and archiving of older files.

  • Checking common voice mails and emails on a regular basis to ensure tenant requests are not missed.

  • Sending out tenant maintenance and building notifications and liaising with Tenant representatives to arrange access for maintenance technicians.

  • Sending our notifications to tenants for holiday access, air conditioning schedules and door and floor access schedules.

  • Basic accounting, coding and administration of invoices.

  • Administering on-site parking within the managed properties.

  • Administer gym memberships for members.

  • Assist with the annual service fee budget notifications and true up notifications.

  • Assist with the selection and administration of tenant Christmas gifts.

  • Obtaining CPR, AED, and First Aid certifications and keeping them current.

  • Being on-call as required and responding to emergencies, as required.

  • Being asked to perform other duties from time to time as reasonably requested by Management.
